Outreach that waits for your yes.
Prospen writes the first line of every email from what the partner publishes. Nothing sends until an owner or admin approves it, and every reply comes back with a draft answer for a person to send.
1. Connect a mailbox
Campaigns send from your own address, through Instantly. Go to Organization → Mailboxes and choose one:
- Connect Google Workspace or Connect Microsoft 365: sign in in the window that opens. Google accepts Workspace accounts only, not a personal Gmail address.
- Other (SMTP / IMAP): any mailbox that allows both. For Gmail, use an app password. Prospen does not store the password; the sender keeps the connection.
A mailbox sends only for the brand you were on when you connected it.
2. Warm it up
Leave Warm this mailbox up on for at least two weeks before sending at volume. Health figures (inbox, spam, score) appear after the first day. Each mailbox has a Daily limit that counts every email, follow-ups included; ramp it up slowly.
3. Write the sequence
- On Campaigns, click New campaign and choose who approves each email.
- On the Sequencetab, write each step’s subject and body, and the wait before it. Variables such as first name and brand name fill in per partner.
- The first email must contain the
personalizationvariable: the one line Prospen writes for each partner. - Use Send me a test to see it in your own inbox.
4. Enrol approved partners
In Prospects, select approved partners with an email and click Send to outreach, or use Add leads on the campaign’s Leads tab. Prospen then writes each opening line from what that partner publishes.
5. Approve, then launch
On the campaign’s Settings tab, Who approves has two choices:
- Review each lead (the default): an owner or admin reads, edits, rewrites or skips every opening line before it sends. Lines waiting are under Needs OK and in Outreach → Needs your OK.
- Approve the campaign once: launching approves every future opening line. Only owners and admins can enrol into such a campaign.
Click Launch once the readiness checklist passes.
Limits and stop rules
- Each campaign sets emails per day, new leads per day and minutes between emails. Defaults for new campaigns are in Organization → Outreach.
- Stop when they replyis always on: a reply ends that partner’s sequence. You can also stop on auto-replies, or stop everyone at the same company.
- The Never email list in Organization → Outreach holds addresses and whole domains outreach must never touch. Unsubscribes and bounces are added automatically, and enrolling anyone on it is refused.
The Inbox
Every reply lands in Inboxwith Prospen’s read of it: what the partner wants, a summary drawn from the thread’s own messages, a suggested next step, anything only you can decide, and a draft reply. Edit it, or use Draft with Prospen with instructions. A person sends it: only owners and admins can click Send; anyone else’s draft is saved for them.
When there is no email
Approved partners with no email found appear under Outreach → Manual.
- Click Write message. Prospen picks the channel to use, such as an Instagram or TikTok DM, a contact form or a YouTube About tab, and writes a message ready to paste.
- Click Copy message, open the channel, paste and send it yourself.
- Click I sent it.
Instagram and TikTok messages can instead be sent from your own account by the Chrome extension.
